About the Role

This is a unique opportunity to play a key role in building the Japan office from the ground up. As Office Manager, you will take ownership of creating and running a best-in-class workplace, shaping operations, processes, and culture in a fast-paced and entrepreneurial environment.

Key Responsibilities

Office Administration & Operations

• Manage office supplies and maintain office equipment
• Oversee day-to-day administrative operations
• Perform ad-hoc administrative tasks as required

Executive & Team Support

• Provide Executive Assistant (EA) support to management
• Coordinate employee benefits administration

Vendor & Facilities Management

• Manage third-party vendors (e.g., cleaners, catering providers)
• Oversee facilities management and workplace maintenance
• Ensure workplace health and safety standards are met

Front Office & Coordination

• Manage reception/front-of-house responsibilities
• Coordinate domestic and international travel arrangements
• Organize company events and internal activities

Requirements

Core Qualifications

• Minimum of 3 years of professional experience
• Proven track record of contributing effectively in previous roles
• Strong administrative and organizational skills
• Experience in facilities management and Executive Assistant support
• Solid understanding of basic building infrastructure

Skills & Competencies

• Ability to work independently and collaboratively in a team
• Strong attention to detail
• Proactive, solution-oriented mindset
• Excellent communication skills in English (written and verbal)
• High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
